We are looking for a highly organized, motivated and experienced Executive Assistant to support Apple’s Head of Worldwide Events. The ideal candidate possesses exceptional communication skills and is a collaborative, positive, proactive team member with the ability to multi-task, prioritize and take initiative in a dynamic environment.

Description

Support day-to-day needs of the Head of Worldwide Events and Experiences to ensure their days run smoothly by effectively managing their time to have the greatest impact.

Intense calendar management, organizing meetings across multiple time zones - in person and virtually.

Book and maintain complex travel schedules, domestic & international and process expense reports in a timely manner.

Plan, coordinate and communicate team events such a group meetings, team building events, off-sites and all hands meetings.

Manage team onboarding, access and support.

Prepare and edit correspondence, reports, presentations, and other documents as needed.

Coordinate and organize internal and external meetings, including preparing agendas, taking minutes, and following up on action items.

Act as a liaison between your executive and internal/external stakeholders, maintaining professionalism and confidentiality.

Submit purchase requests/orders and maintain overall invoice tracking for the team, be a point of contact for Finance.

Collaborate across the team on multiple calendars and weekly staff agendas.

Actively be involved in Facilities projects, knowing the teams' space and needs across multiple different cities.

Collaborate with other assistants across the world to ensure scheduling, meetings and travel run smoothly.

Accountability for excellent and cooperative relationships with other assistants.

Support special projects and initiatives as assigned by the leadership team. Provide on site event support as needed.

Minimum Qualifications

  • Experience supporting senior level management in an administrative capacity.

  • Experience with executive project management

Preferred Qualifications

  • 10+ years of experience

  • Excellent organizational and communication skills, with an acute attention to detail

  • Able to juggle multiple tasks in a fast-paced and time sensitive environment

  • Ability to see around corners and prioritize to focus on what’s most pressing and important.

  • Proven problem-solver with the ability to anticipate change and act efficiently

  • Be proactive, always two steps ahead of the team, calendar and day

  • Confident to effectively communicate with senior team members across Apple and their assistants

  • Tech savvy to support the overall team with ad hoc and daily requests.

  • High level of integrity, able to handle confidential and sensitive information with discretion, and passion for helping others

  • Calm, friendly, and professional demeanor at all times; a positive and approachable personality; though diplomatic when saying no

  • Able to graciously accept last minute requests and jump into projects (even outside your immediate scope) as needed

  • Proficiency with a variety of technologies and software tools — and a proven ability to pick up new ones as they arise — including Apple software like Calendar, eApproval, Keynote, Pages, and Numbers, and collaboration tools like Slack and Quip

Pay & Benefits

At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $42.64 and $63.96/hr, and your base pay will depend on your skills, qualifications, experience, and location.
