Job Description

DESCRIPTION
We are looking for a talented onsite Administrative Assistant to join our Team specializing in Service for our branch in Manassas, Virginia.
In this role, you will make an impact in the following ways:
Coordinates documents, gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work under direct supervision.
Act as the Organizations first point of contact for Visitors and/or Callers to ensure professional communication is being followed, accurately addressing requests for assistance in a timely manner while following safety procedures.
Gathers, compiles and verifies information on various departmental related activities and enters it accurately into documents for reporting purposes; including documentation for payment of Vendors, Suppliers and other Third Parties as applicable while responding to inquiries from Accounts Payable and Payees.
Completes incoming/outgoing mail requirements, including Courier Services and managing maintenance of the postage machine as applicable. Assist with managing the office supplies stockroom.
Performs associate functions as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
Responds to or redirects routine to complex inquiries from external or internal sources about the organization/department, its activities or processes so Callers/Visitors are answered promptly and accurately with limited disruptions in service.
RESPONSIBILITIES
To be successful in this role you will need the following:
Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.
Excellent customer service skills and the ability to effectively communicate in a positive and professional manner in person, over the phone and via email communications.
Ideal candidate will be detail-oriented with the ability to multi-task, take ownership and drive a project/task effectively and efficiently.
Proficiency in Microsoft applications required, experience in document management and invoicing preferred.
Please note, this is an onsite role at our branch in Manassas, Virginia.
QUALIFICATIONS
Education, Licenses, Certifications
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

Please note that the salary range provided is a good faith estimate on the applicable range. The final salary offer will be determined after considering relevant factors, including a candidate’s qualifications and experience, where appropriate.
