This is an exciting opportunity in Shoreview, MN for an Administrative Assistant Position with the Distributed Generation team.

Your impact will happen in these and other ways:

Key support activities to include scheduling appointments and meetings, maintaining calendars, tracking important dates and deadlines, arranging global travel, including obtaining necessary visas, managing on-line expense reimbursement process, and assist managers in placing purchase orders

Provide administrative support to supervisor and Distributed Generation team
-
Manage and co-ordinate key departmental reports as required
-
Manage departmental databases
-
Attend meetings as needed, take minutes, note action items and follow up on completion
-
Co-ordinate and manage office supplies and repairs, assistance etc. as needed
-
Act as an information source to staff (due dates, travel approvals, etc.)
-
Document and identify opportunities to improve work processes
-
Other duties as required and agreed

Planning events including support of large meetings, training sessions, off-sites and site events
-
Ability to recognize and anticipate the needs for others by being proactive and identifying gaps, including keeping staff on time for meetings and appointments

Compose, read, and sort through incoming emails, occasionally developing and sending responses
-
Implements authorized action and uses initiative and sound judgment to help ensure matters requiring immediate attention are dealt with or delegated appropriately, with both internal and external stakeholders

Organize contractual documents including NDA’s, contracts, legal records
-
Liaison with internal and external stakeholders, customer service facing
-
Assesses and prioritizes the validity and nature of requested appointments/meetings to help ensure timely decisions and follow-up while preventing unnecessary interruption
Qualifications
-
High school graduate and training/certification in office administration or equivalent experience
-
Minimum of three years administrative experience in a corporate environment; preferably with international support responsibilities

Proficient with Word, Excel, PowerPoint, and Outlook
-
Ability to create Excel graphs/charts, use pivot tables, and perform project budget analysis.

Experience preparing high-level PowerPoint presentations
-
Strong organizational skills and ability to prioritize work assignments with tight deadlines
-
Good verbal and written communication and interpersonal skills with internal and external customers; confident at communication with all levels of the business.

Self-motivated, pro-active, and able to work with minimal supervision with a high level of professionalism and confidentiality
-
Enthusiasm to work with people from different cultures and willingness to be a “team player”
-
Discretion and the ability to manage confidentiality in execution of all responsibilities is essential

Meeting and event planning experience
-
Demonstrated ability to prioritize and handle multiple projects in fast-paced environments

Conducts all interactions in a professional, pleasant manner while maintaining respect and strict confidentiality

Committed to strategic decision making, resulting in effective problem solving
